Digital sign-off report: what goes in?
Sign-off is the moment your customer confirms: the work is done. A proper report protects you from disputes and speeds up payment.
Why a sign-off report matters
Whether it’s cleaning, grounds care, a repair or an installation: with the sign-off your customer declares that they essentially accept the work as agreed. Depending on the contract type and jurisdiction, acceptance can also have legal consequences, for example for when payment is due and who has to prove later defects.
In practice, the report is above all your proof. If you record in writing what was handed over, when and in what condition, you avoid discussions and invoice reductions.

Checklist: what belongs in every sign-off report
- Client and contractor – company or personal names and address
- Job and site – what was ordered, where was the work done?
- Date and time of the sign-off
- Work carried out – short description or task list
- Result – accepted without defects or with defects
- Defects and remaining work – described specifically, ideally with a photo
- Photos of the condition at handover
- Working time, if billed by effort
- Name and signature of the person signing off
Dealing with defects
If your customer finds something that isn’t right during sign-off, it belongs in the report – as specifically as possible. “Windows streaky” is hard to follow up; “meeting room window, outside, streaks bottom left” is clear. A photo removes any remaining doubt.
Agree straight away when the rework will be done. Afterwards, document the fixed defect with a new photo.
